Grapevine Colleyville Education Foundation (GCEF): Special Events and Marketing Coordinator

The Special Events and Marketing Coordinator is a high-initiative role responsible for the end-to-end execution of fundraising events and the creation of compelling brand content. Reporting directly to the Executive Director, this position requires a proactive self-starter who takes full ownership of projects from concept to close-out. The ideal candidate is exceptionally organized, possesses a strong creative eye, and is committed to producing brand-aligned work that advances the mission of GCEF within the GCISD community.
Key Responsibilities
Event Management & Execution (50%)
- Full-Cycle Ownership: Lead all phases of fundraising events, including pre-planning (timelines/budgets), day-of onsite leadership, and post-event close-out (evaluations/financial reconciliation).
- Logistics & Vendors: Proactively identify logistical needs and manage contracts with venues and vendors to ensure budget and quality goals are met.
- Committees & Volunteers: Act as the primary liaison for event committees; manage volunteer recruitment and coordination.
- Onsite Lead: Serve as the "point person" for all event-day operations, registration management, and troubleshooting.
Marketing & Communications (25%)
- Creative Design: Produce professional-quality digital and print collateral (invitations, brochures, social graphics) using Canva.
- Digital Presence: Work with Executive Director to manage social media platforms and the Foundation website; create and analyze content to drive community engagement.
- Brand Integrity: Ensure consistent messaging and high-quality narratives across all mission-driven communications.
- Work with Executive Director and Board to implement fundraising strategies to grow annual donations and sponsorships with a focus on donors $10,000 and under.
- Strategic Partnership: Work with the Executive Director to execute Foundation programs and represent GCEF at community and GCISD events as needed.
- Relationship Building: Identify and engage potential donors, business partners, and community stakeholders. Conduct meetings to build and maintain relationships.
- Board Support: Assist the Executive Director with Board Members to leverage their networks for new prospects and as volunteers.
- Assist in identifying potential major gift donors and making introductions when appropriate.
- Data Integrity: Maintain accurate donor records in the donor database and generate reports for analysis.
- Stewardship: Work with Executive Director on the donor recognition process for all special events, including appreciation gifts and timely acknowledgement letters.
- Education: Bachelor’s degree in marketing, communications, business, or a related field, or experience that is commensurate with the degree in a related field.
- Experience: 2-5 years of professional experience in event coordination or marketing (Nonprofit/Education environment preferred).
- Mindset: A proven self-starter who thrives in a fast-paced environment and can manage multiple projects independently. A leader and strong public speaker.
- Technical Skills: Proficiency in Microsoft Office, Google Drive, and social media analytics.
- Physical/Schedule: Ability to lift 15–25 lbs. for event setup; willingness to work occasional evenings and weekends for events.
- Existing Donor relationships in the Grapevine/Colleyville community.
- Financials: Intermediate proficiency with QuickBooks for expense tracking.
- Grant writing experience
- Proficiency with Donor Perfect and WordPress, Experience with Mailchimp, Constant Contact, Canva, Adobe or other design tools.
